Step 1
Pick one layout
One layout for everyone. Name, role and company is a safe start.
Lock the look, open the words, give everyone one tool. Six steps to a team that looks like one company.
Free: your brand in 3 real designs, in 48 hours.
To make LinkedIn banners match, decide the fixed parts (logo, colours, fonts, layout), let each person change just name and role, and give everyone one tool that makes the file.
Do not email a template and hope. People edit templates and go off brand. Below are six steps, a message to send your team and a checklist.
It starts small.
You send a template on day one. By month three, one person changed the font. Another used a new logo. A third made a banner in a free app. Now the team looks like five companies.
This is the same problem as in brand consistency for remote teams. The answer is not a longer rule document. It is a tool where the wrong thing is hard to make. Many teams say "non-designers go off brand even with templates". That is why.

You can do this in one day.
Step 1
One layout for everyone. Name, role and company is a safe start.
Step 2
Logo, clear space, colours, fonts and pattern are not editable.
Step 3
Name, role and one approved line. Nothing else.
Step 4
1584 x 396 px for a personal profile. See banner sizes.
Step 5
One link where people make their own file. No email attachments.
Step 6
Every new hire makes their banner in week one.

If the brand is unclear, matching banners will not help. Answer a few short questions and get your score and what to fix next.
Hi team, from [date] we use one banner look on LinkedIn, so customers see one company. How it works: 1. Open [link to banner tool]. 2. Type your name and role. 3. Download the banner and upload it to your LinkedIn profile. It takes about two minutes. Please do not change colours, fonts or the logo. Banner size is 1584 x 396 px - the tool already handles that. Please update by [date]. Questions go to [name]. Thanks, [Your name]
The sentence "Please do not change colours" works better when the tool does not let them. Locked is kinder than rules nobody follows.
Leave your email. I design them by hand and send them to you within 48 hours. It costs you nothing.
I write to you from [email protected]. If you do not see it, check spam.
Matching does not mean identical.
| Team | What changes | What stays |
|---|---|---|
| Sales | Market line | Layout, logo, colours, fonts |
| Marketing | Campaign line | Layout, logo, colours, fonts |
| Leadership | Belief or proof line | Layout, logo, colours, fonts |
| Hiring team | We are hiring line | Layout, logo, colours, fonts |
Founder ideas are in LinkedIn banner ideas for founders. Sales layouts are in banner templates for sales teams.
A shared file is fine. A tool is better.
A brand portal holds the banner tool next to the logo files, the rules and the post tool. New people find everything in one place. Old logos disappear.
I built this for MTG with a 104-page guidelines book and a Brand OS Pro Portal. The team makes its own posts now.

Worth a look: brand compliance for how to keep a team in line without policing it.
Try one Brand OS Portal tool
This is a real tool from a real Brand OS Portal, on the MTG brand. Each person types their name and gets a banner. The brand stays right.

I made short videos of the tools. Hear me explain them, then scroll through every one at work. Real tools, on a real brand.

People edit templates. A free app, an old logo, a new font. A tool that locks the brand stops it.
For a personal profile it is 1584 x 396 px.
Same layout and brand parts, with a different line. Matching does not mean identical.
The layout and rules can be set in a day. People then need about two minutes each to update.
A designer is right for the identity. After that, a Brand OS Portal lets the team make banners, posts and slides itself.
