Brand OS Portal

Freelancer brand handover checklist: what to send on day one.

A freelancer cannot match a brand they have never seen. Send the right things once, and stop fixing their work later.

Free: your brand in 3 real designs, in 48 hours.

A brand handover for a freelancer is a short pack: the latest logo files, colours, fonts, a few photo and voice rules, approved facts, and one example of good work.

Send it on day one, in one link. Tell them who approves the work. Then the first draft is already close, and you do not repeat the same corrections.

Why most freelancer work comes back wrong.

It is rarely the freelancer. It is the handover.

Most handovers are an email with a few attachments. Maybe a PDF. Maybe a link to a folder with three versions of the logo.

The freelancer does what they can with what they have. You send corrections. They fix them. Next month a new freelancer starts and you send the same corrections again.

A good handover moves the corrections to before the work starts. It is the cheapest fix there is.

Problem

Unwritten rules

The rules are in your head or on page 54 of a PDF nobody opened.

Problem

No example

Hi [name], welcome. Here is everything you need for [project].

Brand pack (one link): [link]
It has the latest logo files, colours, fonts, photos and the rules.

Three things to know:
1. Use only the logo files in the pack. Please do not recolour or stretch the logo.
2. Voice: [one sentence, e.g. plain, direct, no hype]. Words we never use: [list].
3. Facts: only use the approved facts in the pack. If you need a new claim, ask me first.

Good example: [link]. Bad example: [link], because [reason].

Please send a first draft by [date] to [name]. [Name] approves, usually within [number] working days.

Skip the email thread: give the brand as one link.

This is where a Brand OS Portal helps.

A Brand OS Portal is an online portal made for your brand. It holds the files, the rules and the makers in one place. Your handover becomes one link and one login.

If you give a freelancer a login, they can make on-brand posts, banners and signatures in the same place your team does. Photos can be graded against the brand, and words checked against the brand voice.

You stop answering "which logo is the latest?" and "what size should this be?" You also stop paying a designer to fix a freelancer's off-brand work.

Keep the handover alive.

A pack that goes stale is worse than none.

  • One owner. One person updates the pack. Everyone else reads it.
  • One version. Delete old files the day a new one is ready.
  • One review after the first job. Ask the freelancer what was unclear. Fix the pack, not just the draft.
  • One place for new freelancers. Reuse the same link and the same message. See brand onboarding for new hires.

Straight answers.

What should I give a new freelancer designer?

The latest logo files, colour codes, fonts, a few photos, voice rules, approved facts, one good example and the name of the person who approves.

How do I make a freelancer follow my brand guidelines?

Send a short pack, not a long PDF. Add one good and one bad example. Tell them who approves and when.

Should I share my full brand guidelines with a freelancer?

Share what they need for the job. A short rule list plus the files is often more useful than a 100-page document.

How do I stop brand guidelines from being ignored?

Put the rules next to the files and the tools people use. Rules in a PDF nobody opens do not work.

Do I need a portal for freelancers?

Not for one small job. It helps when you work with several freelancers or your team also makes its own posts.

One more thing.

Death List Five. Five headaches, one portal. Sound on.
