Reason 1
Too hard to find
The logo is in an old email. The guidelines are a 90-page PDF. People use what they find fast.
Guidelines nobody follows are not a people problem. Make the right way the easy way, and the team follows without being told.
Free: your brand in 3 real designs, in 48 hours.
Brand drifts when the right way is harder than the wrong way. The playbook has five moves: find the drift, put everything in one home, lock the templates, make the tools easy, and check a few things every week.
You do not need more rules. You need fewer choices and a team that can find the right file in under a minute.
It is rarely laziness. It is usually one of these three.
Reason 1
The logo is in an old email. The guidelines are a 90-page PDF. People use what they find fast.
Reason 2
The rules say what to do, but the team still has to build the post from nothing.
Reason 3
There is no owner, no review. Small slips become the new normal.
Even with templates, non-designers go off brand when templates are too open, or old copies sit around. More in PDF brand guidelines vs Brand OS Portal.

Do them in this order. Each one makes the next easier.
Move 1
Collect 20 recent pieces from all channels. Lay them side by side. Circle what does not match. Use the brand audit checklist.
Move 2
One link for files, rules and designs. Retire old folders. See brand portal.
Move 3
Logo, colour, type locked. Words and photo open. See brand compliance.
Move 4
Ready designs for the 5 things the team makes weekly. No blank pages.
Move 5
Five pieces a week, 10 minutes. Fix the cause, not the person.
Free tool
Answer a few short questions. You get your brand score and the top thing to fix. It is free and runs right here.
Control without a queue. This is the part most directors get wrong.
The old fix for drift is "send everything to me before it goes out". It works for a month. Then you are the queue.
Approve the system once, not each piece. When the logo, colours and fonts are locked, a post made from a ready design is already approved in its look. You just check the words.
Set three levels: green (made from a ready design, post it), amber (new claim or number, ask one person) and red (new look, ask the owner). Most work is green.
| Level | What it is | Who approves |
|---|---|---|
| Green | Ready design, approved facts, normal words | The maker, no wait |
| Amber | New claim, new number, customer name | One named person, same day |
| Red | New look, new layout, new campaign | Brand owner or designer |

Put it in the calendar every Friday.
Week of: [date] Checked by: [name] Pick 5 pieces published this week (post, slide, email, page, ad). For each, answer yes or no: [ ] Logo is the right file, not stretched or tilted [ ] Colours are from the palette [ ] Fonts are the brand fonts [ ] Words match the voice rules [ ] Every claim is on the approved facts list Count the noes: [ ] What caused the biggest slip? [e.g. old logo file, no template for this] One fix this week: [e.g. add a ready design, delete old folder] Tell the team in one line: [what changed]
Fix the cause, not the person. If one slip repeats, the system lacks something. For remote teams, read brand consistency for remote teams.
Moves 2 to 4 are the work. A portal does them in one place.
A designer is still right for strategy and a new identity. The portal is for the daily work after that. See Brand OS Portal.

Make the right way the easy way: one home for files, ready designs with the brand locked, and a short weekly check.
Templates are often too open, old copies sit around, and nobody owns them. Lock the brand parts and delete old files.
A little every week beats a big audit once a year. Five pieces, ten minutes.
Approve the system once, not each piece. Use green, amber and red levels so most work needs no wait.
One named person. They keep the rules, files and designs up to date and run the weekly check.
