Team email signature generator.
One form, one list, a signature for each person. Copy it into Gmail or Outlook. No sign-up.
No sign-up. I do not ask for your email. What you type stays in this tab. Nothing is saved or sent. Close the tab and it is gone. Fill in only what you want to show.
This person
Your team list
One row for each person. The first row has the column names: name, title, phone, email. You can add company, website, address and logo too.
Same for everyone
Use a public link that starts with https://. Mail apps load the logo from this link. Your browser loads it too, to show you the preview.
New hire, new title, new logo. Then what?
A list works today. Brand OS Portal has Signature Builder. Each person opens one link and gets the right signature, next to the rest of your brand tools.
How do I make one email signature for a whole team?
Fill in the form once for what is the same for everyone, then add one row per person in CSV mode. You get a signature for each person, and each one copies into Gmail or Outlook.
It runs in your browser. Your team list does not go to a server, because there is no server.
How to add it to Gmail
- Press Copy for Gmail.
- In Gmail, open the gear icon, then See all settings.
- Find Signature, press Create new and give it a name.
- Paste it in the box.
- Pick it for new mail and replies. Then press Save Changes at the bottom of the page.
How to add it to Outlook
- Press Copy for Outlook.
- In new Outlook or Outlook on the web, open the gear icon, then Accounts, then Signatures. In classic Outlook, open a new mail, then Signature, then Signatures.
- Add a new signature and give it a name.
- Paste it in the box.
- Pick it for new mail and replies. Then save.
Menu names change now and then. If you get lost, look for the word Signature.
How to do the whole team
- Press Whole team, CSV and download the template.
- Fill in one row per person. Save it as CSV. Or copy the rows from Excel or Google Sheets and paste them.
- Fill in the company, website and logo once.
- Press Download all as ZIP. You get one file per person.
- Send each person their file. They open it in a browser, select all, copy, and paste it in their mail settings.
Keep the logo simple
- Use a public link. Put the logo on your own website. A file from your computer will not show for other people.
- Make the image twice the size it shows. It stays sharp on good screens.
- Check dark mode. Mail apps can change colors. A dark logo can vanish on a dark screen, so look at it in both.
If your company needs to force a signature on everyone, your admin can add a footer on the server. See Google Workspace footers and Microsoft 365 mail flow rules.
What I tested, and what I did not
Tested on 01.11.2026: The copy buttons, a paste into a rich text box, the CSV list and the ZIP, in the engines of Chrome and Safari, on phone and desktop sizes. I also checked that the code is under the Gmail limit of 10,000 characters.
Not tested yet: The signature inside Gmail, Outlook or Apple Mail themselves, and in dark mode. Each app can change the look a little. So please send yourself a test mail first, on a phone too.
Straight answers.
Do you store my team list?
No. There is no server behind this tool. The list stays in your browser tab, and it is gone when you close the tab. I do not save it, and I can not see it.
Do I need to give my email?
No. There is no sign-up and no email form. Fill in only what you want to show in the signature.
Does it work in Gmail and Outlook?
The signature uses plain tables and inline styles, which mail apps read best. The box on this page says what I tested and what I did not. Please send yourself a test mail before you roll it out.
What goes in the CSV file?
One row per person. The first row has the column names: name, title, phone and email. You can add company, website, address and logo. Commas, semicolons and tabs all work.
Why does my logo need a link?
A signature does not carry the image. The mail app loads it from a link each time. So the image must be on a public address, such as your own website.
How long can a Gmail signature be?
Google allows up to 10,000 characters. The tool shows how long your code is, and warns you if it gets too long.
